Recommended Procedure for Rejected Candidates

In these days of internet-based job advertisements it is simply not possible to respond in person to every candidate who replies, and this level of courtesy is not expected when people apply online.

It is, however, very important to give timely feedback to every applicant with whom the would-be employer makes contact, and a system needs to be set up when the advert is placed to generate and send out rejection letters to all of those who merit one.

This will obviously include everybody who has been interviewed whether by telephone or in person, but may also include other classes of people who are deemed appropriate.  People falling into this category would be anybody who has been referred by an existing staff member or outside party and anybody who has an affiliation of any kind with the potential employer. 

Here is are the templates of rejection letters that we recommend sending out.:

Letter 1—No Interview

Thank you for responding to our advertisement for ________ and we reviewed your application with interest.

As we said in the advertisement, we expected a heavy response and that was indeed the case.  After careful consideration I am afraid that we have decided that the match between your experience and the position that we are looking to fill is not the best fit and we have decided to go in a different direction.

I am sorry to have to give you a disappointing reply and wish you every success in your job search. 

Letter 2 – After Interview

Thank you for responding to our advertisement for ________ and we enjoyed speaking with you at interview.

As we said in the advertisement we expected a heavy response and that was indeed the case.  After careful consideration I am afraid that we have decided that the match between your experience and the position that we are looking to fill is not the best fit and we have decided to go in a different direction.

I am sorry to have to give you a disappointing reply and wish you every success in your job search. 

Letter 3 – After Taking Behavioral Assessments

Thank you for responding to our advertisement for ________ , for taking the time to interview with us and for taking the Behavioral Assessments as requested.

As I told you at the interview, we expected a heavy response and that was indeed the case.  After careful consideration I am afraid that we have decided that the match between your behavioral style and the behavioral style needed in the position is not the best fit and the have decided to go in a different direction.

I am sorry to have to give you a disappointing reply and wish you every success in your job search.
